01

Discovery

Analyzed a sample of 2,000 support tickets and found that 73% were simple order-status queries that didn't require human judgment — just real-time data the team was looking up manually.

02

Design

Designed a multi-channel bot deployed as a website widget and via SMS notifications, with real-time delivery tracking integration and smart escalation paths for complex issues.

03

Build

Connected the bot to FreshBite's delivery API and CRM, enabling automatic status updates, live ETA calculations, and context-aware escalation to human agents when needed.

04

Deploy

A/B tested the bot with 500 customers against the existing support flow, measuring resolution time, satisfaction scores, and reorder behavior over two weeks.

05

Optimize

Added proactive delivery notifications so customers never had to ask, plus intelligent upsell prompts at the moment of delivery confirmation when satisfaction peaks.

The First Call

Marcus from FreshBite did not mince words on our first call. His support team — four people — was fielding over 200 tickets a day, and the vast majority were the exact same question: “Where is my food?”

You could hear the exhaustion in his voice. These were good support agents. Empathetic, fast, skilled at de-escalation. And they were spending eight hours a day copy-pasting tracking links.

What We Found

I asked for a data dump. Two thousand tickets from the past month. I tagged and categorized every single one.

The breakdown was staggering. 73% of all tickets were simple order-status queries. Not complaints. Not refund requests. Not edge cases that needed human nuance. Just people wanting to know if their pad thai was five minutes away or fifteen.

The remaining 27% — the real problems, the angry customers, the missing items — those were getting buried. Average response time had crept up to 45 minutes. By the time an agent got to a genuine complaint, the customer had already written a one-star review and downloaded a competitor’s app.

FreshBite was not just burning out good people on robotic tasks. They were letting their hardest problems fester because the easy ones ate up every hour of the day.

The Turning Point

I built a bot that operates across two channels — a sleek website chat widget for real-time support and SMS notifications for proactive delivery updates. Both hit the same backend.

The core integration was the delivery API. When a customer asks “where’s my order?”, the bot pulls real-time GPS data and returns an ETA in under three seconds. No ticket created. No queue. No wait. Just an instant answer.

But the real shift came from going proactive. Instead of waiting for customers to ask, the bot now pushes notifications at key moments: order confirmed, driver assigned, two minutes away, delivered. The question disappeared before anyone had to ask it.

For anything the bot cannot handle — a missing item, a billing dispute, a dietary concern — it collects context and routes to a human agent with a full summary attached. The agent picks up mid-conversation with everything they need. No repetition, no frustration.

What Happened Next

The A/B test with 500 customers told us everything. The bot group saw 3-minute average response times versus 45 minutes for the control group. Satisfaction scores jumped. And here is the number that made Marcus smile: the reorder rate climbed +28% in the bot group.

After full deployment, support tickets dropped by 60%. The four-person team was not downsized — they were redirected to handle VIP accounts, process complex refunds, and improve the overall delivery experience. The team went from burnt out to re-energized.

FreshBite now saves $2,400 per month in operational costs, and their support agents finally get to do the work they were actually hired for.

Our support team was burnt out answering the same question 200 times a day. Now they handle the complex stuff and the bot handles everything else.
